Summary:
The Visitor Services Receptionist is the first point of contact for visitors entering the Museum of Art and Munson callers and will be responsible for providing a positive and enjoyable experience for all.
The Visitor Services Receptionist and Volunteer Coordinator will demonstrate superior customer services both in person and on the phone and will conduct visitor transactions and interactions in a professional and courteous manner.
The Visitor Services Receptionist and Volunteer Coordinator is responsible for imparting general knowledge about the Museum of Art, Performing Arts and School of Art events, exhibitions, and performances and direct calls and visitors to their desired locations.
As Volunteer Coordinator, recruit volunteers and provide baseline training for all (confidentiality, building access, availability of materials, etc.

ESSENTIAL JOB FUNCTIONS:
Visitor Services:
? Acts as first Munson public representative by greeting visitors/patrons in a friendly, courteous, and enthusiastic manner.
? Answers incoming calls quickly and professionally and transfers to appropriate department or accurately answers callers' questions.
? Assists employees with inquiries, call transfers, and paging systems to locate or relay information to Physical Plant, Campus Safety and other staff.
? Actively promotes membership sales, encourages visitors and callers to attend events, exhibitions or films, or to take classes at the School of Art.
Keeps updated on all Munson events, exhibitions, classes, workshops, etc.
to accurately communicate information to callers and visitors.
? Operates office equipment as needed ? Sells tickets for Munson events, exhibition admissions, etc.
Volunteer Coordinator:
? Recruits volunteers and provide baseline training for all (confidentiality, building access, availability of materials, etc.
) ? Promotes volunteer opportunities in consultation with program managers who use volunteers:
o Fountain Elms Invitational Car Show (Facilities) o Docents (Museum Education) o Ushers (Performing Arts) o Community Outreach (Performing Arts) o Special Events (primarily Performing Arts or other departments) o Art Alive! (Museum Education) o Membership (Development) ? Maintains volunteer database.
Communicates with individuals who have volunteered or shown interest in volunteering to confirm area of interest and potential needs.
? Shares volunteer names and details with appropriate departments, who will manage scheduling and on-boarding as appropriate to that role.
? Manages outreach as appropriate for large-scale events such as Arts Festival.
Shares calendars and schedules with all involved, both staff and volunteers.
? Works with department heads and program coordinators to gather and manage statistics on volunteer hours ? Works with Development office on annual volunteer recognition event Organizational Service:
Will serve on intra-departmental committees as required and complete other duties as assigned.
KNOWLEDGE, SKILLS, & ABILITIES:
? High school diploma or equivalent ? 1 to 3 years experience in customer service or reception preferred ? Art background a plus SUPERVISORY
Responsibilities:
The Visitor Services Receptionist and Volunteer Coordinator does not have direct supervisory responsibilities for hiring, termination, performance appraisals or performance counseling.
COMPUTER MACHINE & EQUIPMENT SKILLS:
Advanced personal computer skills that include the ability to send/receive e-mail messages, post information to a database or spreadsheet, and perform advanced word processing, bookkeeping, and/or data entry.
Knowledge/use of computer, printer, photocopier, phone system, fax machine, and scanner.
Requires experience with Microsoft Word, Excel, and PowerPoint and various software programs.
PHYSICAL ACTIVITIES & DEMANDS:
